Elevating Global Footprint: BatStateU Libraries Mobilize Institutional Repository Initiative

In a decisive move to amplify its academic presence and preserve its intellectual wealth, Batangas State University (BatStateU) successfully conducted a three-day intensive ๐๐ง๐ฅ๐ข๐ง๐ ๐๐ซ๐๐ข๐ง๐ข๐ง๐ ๐จ๐ง ๐ญ๐ก๐ ๐๐ฌ๐ญ๐๐๐ฅ๐ข๐ฌ๐ก๐ฆ๐๐ง๐ญ ๐จ๐ ๐๐ง ๐๐ง๐ฌ๐ญ๐ข๐ญ๐ฎ๐ญ๐ข๐จ๐ง๐๐ฅ ๐๐๐ฉ๐จ๐ฌ๐ข๐ญ๐จ๐ซ๐ฒ ๐๐จ๐ซ ๐๐๐ญ๐๐ง๐ ๐๐ฌ ๐๐ญ๐๐ญ๐ ๐๐ง๐ข๐ฏ๐๐ซ๐ฌ๐ข๐ญ๐ฒโ๐ฌ ๐๐๐ก๐จ๐ฅ๐๐ซ๐ฅ๐ฒ ๐๐ฎ๐ญ๐ฉ๐ฎ๐ญ๐ฌ from July 20 to 22, 2026, via the Zoom platform.
The virtual initiative brought together a strategic coalition of participants, including the university’s dedicated library staff across all constituent campuses, selected Information Technology (IT) personnel, members of both the Library Committee and the Library and Instructional Materials Committee, and an official representative from the Research Office of the Pablo Borbon Campus. Serving as the master of ceremonies was ๐๐ฑ. ๐๐ข๐ง๐ ๐๐๐ซ๐ข๐ ๐. ๐๐ซ๐๐ฅ๐ฅ๐๐ง๐จ, Administrative Aide VI (Public Relations) from the BatStateU Library – Pablo Borbon Campus.
The training commenced with opening remarks from ๐๐ซ. ๐๐๐ซ๐ซ๐ข๐ ๐. ๐๐๐ฅ๐๐ฅ๐ฎ๐๐ง, Vice Chancellor for Academic Affairs – Pablo Borbon, who underscored the event’s significance in the universityโs broader academic roadmap. Following this, ๐๐ซ. ๐ ๐ซ๐๐ง๐๐ข๐ฌ ๐. ๐๐ฎ๐๐๐ง๐ delivered an inspiring message on behalf of ๐๐ง๐ ๐ซ. ๐๐ง๐ญ๐จ๐ง๐ข๐จ ๐. ๐๐๐ฆ๐๐จ๐, Chancellor – Pablo Borbon, emphasizing the institution’s commitment to research excellence and digital innovation.
The technical discourse opened with ๐๐ซ. ๐๐ญ๐๐ฉ๐ก๐๐ง ๐. ๐๐ฅ๐๐ฒ๐จ๐ง, who illustrated the profound impact of online digital repositories on extending the global reach of a university’s published research. Mr. Alayon notably highlighted how a robust repository directly translates to elevated global university rankings, particularly concerning the United Nations’ 17 Sustainable Development Goals (SDGs).


To equip the team with empirical tracking skills, Mr. Alayon demonstrated advanced search strategies to map existing BatStateU journal publications across the web using standard indexing tools like Scopus, Google Scholar, Google Patents, and the university’s primary institutional site.
Transitioning from search to structural architecture, ๐๐ซ. ๐๐ข๐ง๐๐ ๐๐ซ๐ฏ๐ข๐ง ๐. ๐๐๐ฅ๐๐ฎ๐ฅ๐ฅ๐จ provided a comprehensive overview of the DSpace platform, detailing the core elements and sections that comprise the repository interface. Closing out the first day, Mr. Alayon introduced institutional standards for standardized file-naming conventions, critical for seamless asset discovery, and initiated a collaborative call-to-action for the multi-campus library team to align on universal repository keywords.
The second day focused heavily on data governance and technical workflows. Mr. Palcullo led the morning session by emphasizing the critical role of structured metadata. He introduced the library team to the Dublin Core metadata element set, guiding them through hands-on inspections of various scholarly materials, such as journals, theses, and books, to extract and map essential metadata.
The afternoon transitioned into a rigorous, end-to-end technical workshop led by the dynamic instruction of Mr. Alayon, Mr. Palcullo, and ๐๐ซ. ๐๐ฅ๐ฏ๐ข ๐. ๐๐๐ฆ๐ข๐ณ. The session meticulously guided the library team through the digitization pipeline, which included:
โ๏ธHardware Extraction: Document scanning utilizing the Fujitsu ScanSnap system, including image correction and structured folder management.
โ๏ธText Recognition: Optical Character Recognition (OCR) processing via ABBYY FineReader to execute precision text correction.
โ๏ธIngestion Setup: Integrating these optimized assets seamlessly with the backend structures of the DSpace repository.


The final leg of the training tackled legalities, citation standards, and system application. Mr. Palcullo provided an essential breakdown of copyright frameworks and open-access licensing rules. He also reinforced academic integrity protocols by training the team on precise APA 7th edition formatting for digital citations.
Under the continued mentorship of the guest experts, the participants spent the remainder of the day encoding live data into the active digital repository. To ensure structural compliance and quality control, Mr. Alayon and Mr. Nemiz conducted thorough evaluations and final audits of the library team’s draft submissions.

Armed with DSpace technical proficiency, standardized metadata strategies, and a unified indexing vision, the BatStateU Library team is poised to launch a central digital repository that will secure, preserve, and project the universityโs research innovations onto the global stage.
